    Position
    Position Title: Executive Administrative Assistant
    Reports to: CEO

    Position Summary
    Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. This position has no supervisory responsibilities.

    Primary Responsibilities

    • Prepare invoices, reports, memos, letters, statements, and other documents, using word processing, spreadsheet, database, or presentation software.
    • Answer phone calls and direct calls to appropriate parties or take messages.
    • Attend meetings and record, type and distribute meeting minutes.
    • File and retrieve corporate documents, records and reports.
    • Open, sort and distribute incoming correspondence, including faxes and email.
    • Manage and maintain executive schedule(s).
    • Make travel and meeting arrangements for executive(s).
    • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
    • Perform general office duties such as ordering supplies and maintaining records management database systems.
    • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
    • Greet stakeholders and determine whether they should be given access to specific individuals.
    • Prepare agendas and make arrangements, such as coordinating catering for luncheons, for staff, committee, and other meetings/events.

    Core Knowledge

    • Clerical – Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
    • English Language – Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
    • Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
    • Computers and Electronics – Knowledge of electronic equipment, and computer hardware and software, including applications and programming. Knowledge of marketing and social media software/platforms.
    • Administration and Management – Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.

    Physical Demands
    This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

    Work Environment
    Requires working indoors in environmentally controlled conditions. This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

    Travel No overnight travel is expected for this position. There may be occasional local day travel.

    Required Education and Experience

    • High school diploma or equivalent
    • 3-5 years of administrative experience

    Preferred Education and Experience

    • Associate’s or bachelor’s degrees in business-related field
    • Over 5 years of administrative experience
